The digital event and guest management team builds a solid base for multiple projects within our agency by using our multi-functional event management software solutions in a wide range of projects and events. Our service portfolio includes web-based guest management tools, guest apps and ticketing software.  
You are the point of contact for internal and external stakeholders and are responsible for an efficient and successful integration and development of the tool into projects & events according to deadlines and within the given budget.  
You collect all necessary requirements and consult to find the most suitable digital solution.   
You will set up the event management tool (website, registration forms, design, e-mails, etc.) in close cooperation with our colleagues and all stakeholders involved (main departments: hospitality, corporate communications, graphics, brand experiences, etc.). Additionally, you will be in charge of maintaining data sets and the creation of high quality reports. 
You are interested and up to date on the latest digital and technical trends that are relevant for our business and come up with potential business opportunities. 

  • Point of contact for all guest management tool related topics 
  • Develop concepts and strategies in cooperation with the client 
  • Integrate the guest management tool as a system for several projects and events, incl. specific functions 
  • Implement necessary processes within the software from briefing to go-live on a guest facing level 
  • Draft and maintain project plans, budget plans, timelines, internal and external presentations and documentations as well as all other associated documents according to agency standards 
  • Manage and execute guest management tool operations, maintain data sets and event ticket orders and approval procedures 
  • Supervise event ticket distribution as well as maintain ticket holder data 
  • Create reports on a regular basis, maintain data and prepare post project reports to keep all stakeholders updated 
  • Create an individualized layout (frontend) of the tool according to clients' needs – HTML /CSS knowledge is an advantage 
  • Manage assigned project areas while making sure that the project lead is updated at all times 
  • Build, develop and grow business relationships vital to the success of the projects

  • Education. You have a university degree in business administration/marketing/IT or an equivalent education in event or project management and first experience in a digital environment. 
  • Skilled. You have experience working with MS Excel and PowerPoint and web-based software, knowledge in HTML/CSS is an advantage. Experience in event management, strategic planning and budgeting or equivalent combination of education and experience is a plus. 
  • Detail Oriented. You have an eye for the details, you enjoy working with data and numbers and you have the ability to synthesize small details into the overall picture. 
  • Communication. You are comfortable with open dialogue in team settings and have very good language skills in English (verbal and written). 
  • Organized and Independent. Your working style is independent and flexible and you are structured and coordinated. You have strong abilities in self-organization, time management and budget management.
